The implementation of a comprehensive Workday platform (HCM, Financials, & SCM) by a large healthcare provider in Virginia encountered critical challenges.
Midway through the project, the internal team’s lack of Workday expertise and bandwidth became apparent, leading to unforeseen needs in training, change management, and specialized support in SCM, AP, and Inventory Management.
Notably, with only two weeks before the project’s go-live, it was discovered there was no training plan for clinical staff on SCM, essential for nursing staff to order supplies, highlighting the complexity and oversight in the project's execution.
SOLUTIONS
Workday HCM & Finance Expertise: Introduced by the customer's partner, GQR provided Workday specialists in HCM, Payroll, and Financials for Phase I.
Onsite SCM Training Team: Deployed a team of SCM/training specialists onsite to train clinical staff, collaborating closely with the CHRO, project team, and Chief Nursing Officer.
Post-Go-Live AP & Finance Support: After going live, GQR provided AP & Financials specialists in staff augmentation and contract-to-hire roles to bolster the existing AP & Finance teams.
RESULTS
Go-Live Coordination: GQR collaborated with the Partner and Customer to guarantee on-time project go-live and post-go-live staff preparedness and training.
In-House Workday Team: The Customer has acquired a skilled in-house, onsite team of Workday-specialized employees and contractors for Phase II and process improvements.
Budget and Staffing Stability: Maintaining the scheduled go-live date circumvented further staffing issues and kept both the Partner and Customer within budget.
